The challenge
Contractors buy materials from a dozen suppliers and then re-type every line of every vendor invoice into a customer bill. It eats evenings, introduces errors, and lets materials slip through unbilled.
Generic OCR tools stop at "here is some text." Nobody connected extraction to the actual job: matching the customer, applying the right markup, and producing a bill ready to send.
What we built
ExoInvoice gives each company a dedicated inbox. Forward a vendor invoice (or upload a batch or a ZIP) and a layered pipeline reads it: the PDF text layer first, OCR for scans, then AI to structure every line item, with a second model as fallback.
The platform then fuzzy-matches the customer from the ship-to address, applies per-vendor, per-category, or per-customer markup rules, runs a math sanity check on quantities and totals, and outputs a branded customer invoice. The same engine is exposed as a public API that powers receiving inside HelmDMS.
Key features
Email-forward intake
Each company gets a signed inbound address. Forward an invoice, upload a batch, drop a ZIP, or call the API.
Layered AI extraction
PDF text layer, OCR for scanned documents, and large language models with an automatic fallback model, plus output repair and file hashing so nothing is processed twice.
Customer matching
Fuzzy matching auto-assigns invoices at high confidence and creates new customers from ship-to addresses.
Markup engine
Percentage or fixed rules scoped by vendor, category, or customer, so every bill comes out priced the way the business actually charges.
Math sanity check
Quantity times unit price and invoice totals are verified before anything goes to a customer.
Public extraction API
Hashed API keys and modes for parts, boats, motors, trailers, rebates, and fuel receipts, with Redis-cached results.
Teams, jobs, and billing
Roles and permissions, 2FA, job costing, P&L reporting, audit logs, CSV/XLSX import and export, and Stripe subscription billing with plan limits.
