Independent boat dealers run on a patchwork: a legacy DMS, a separate texting add-on, spreadsheets, and phone calls to three distributors to price one part. Totals get re-keyed into the card terminal and customer records get duplicated across systems.
Off-the-shelf dealer software is built for big franchise stores, priced per seat, and slow to change. Small shops pay for complexity they do not use and still miss the features they need.
We built HelmDMS as one web-based, multi-tenant system that covers the whole shop: counter sales, service, scheduling, parts and inventory, boat sales, and customer communication, at one flat price per location with unlimited users.
Then we went after the jobs nobody else automates. One search queries the major marine distributors at once. Supplier invoices and rebate PDFs are read by AI and posted to inventory. An AI agent answers the shop phone and site chat with live lookups, so "is my boat ready?" gets an answer without a person stopping work.
One query compares price, stock, and lead time across five marine distributors and submits the purchase order from inside the DMS.
A natural-voice agent answers calls and site chat, looks up work order status in real time, knows inventory and hours, and captures leads for the shop.
Powered by our ExoInvoice extraction API: a supplier PDF is parsed, matched to the catalog, and posted to inventory in one step.
Rebate programs are read from the PDF, applied at the counter during the valid window, and exported as a ready-to-file claim report.
Stripe Terminal, barcode scanning, and on-pad signatures, so totals never get re-keyed into a separate card machine.
Concern / cause / correction work orders, drag-and-drop scheduling with SMS reminders and no-show fees, and a boat sales pipeline from lead to delivery.
Boat inventory pushes to Boat Trader, YachtWorld, Boats.com, Facebook, and the dealer’s own website automatically.
